Clubs, Societies and Projects
  • The Student Union (SU) can book FoM managed rooms listed in the table FoM Student Union Bookable Rooms after 6pm and at weekends on a termly basisThe SU can submit requests within 10 days notice. The table indicates which spaces the SU can book at Charing Cross and South Kensington from 1pm on Wednesdays (only up to 2 weeks before the booking date).
  • All society and club bookings in laboratories/RCS1 Versatile Teaching Laboratories, Charing Cross 7th floor Lab Block teaching rooms and 1st floor Reynolds,  require the approval of the Teaching Facilities Manager (jacob.lee@imperial.ac.uk), who submits a request to FEO Timetabling Team as the SU do not have permission to book into the labs directly on their system. 
  • Availability permitting,  the Teaching Facilities Managers raises a booking request to hold the space.  The booking is confirmed on receipt of a completed risk pro-forma risk assessment, provided by the Teaching Facilities Manager. This pro forma form Pro Forma Risk Assessment Form  should be downloaded, completed and returned to the Teaching Facilities Manager (jacob.lee@imperial.ac.uk).
  • The club/society should search and check room availability using Celcat before requesting to book rooms.
  • A single nominated representative from a club/society should make the room booking request to avoid duplication with other requesters. 
  • Only one club/society carrying out practical workshops is permitted per floor in the RCS building versatile teaching laboratories (VTLs) over a single weekend.
  • Partitionable rooms can be opened or closed on request by the end of a weekday or the Friday before a weekend event, but we are unable to accommodate changing the partition settings outside of normal working hours due to staff unavailability.
  • For all Clubs, Societies and Project requests contact  the Student Activities Centre (activities@ic.ac.uk ) in the first instance.

You must check space availability first. There are occasions when some scheduled teaching taking place, which remains a priority.
